PandaDoc Alternative / 2026 Edition

Looking for a PandaDoc alternative? Bidara is purpose-built for RFPs.

PandaDoc excels at sales proposals, quotes, and e-signatures. For formal RFP responses with Section L/M compliance matrices, SF330 qualification submissions, and past performance requirements, PandaDoc was not designed for the job. Bidara is.

01 / Why teams leave PandaDoc

The six patterns we hear most.

PandaDoc reviews on G2 and Capterra surface a consistent gap between document workflow and proposal generation. These six come up most often when sales teams realize they need real RFP capability, not just e-signature plumbing layered onto a sales contract template.

01

Not built for formal RFPs

PandaDoc is a document automation platform for sales proposals, quotes, contracts, and NDAs. It has no Section L/M extraction, compliance matrix generation, or qualifications-based submission support. You can use it for RFPs but you’re fighting the tool.

02

No AI requirement extraction

PandaDoc has templates and content blocks but no AI that reads an RFP and extracts requirements. You manually parse Section L instructions and manually track them to your response.

03

Per-user pricing adds up fast

PandaDoc Business is $65/user/month. A 5-person proposal team costs $3,900/year, a 10-person team costs $7,800/year. Fine for a solo sales proposal writer; fast-scaling for proposal teams.

04

Content assembly, not generation

PandaDoc helps you stitch together pre-written content blocks into a branded document. It does not generate first drafts from your past proposals. For RFP responses that require customization, you’re still writing.

05

No past performance intelligence

For federal and state RFPs that require relevant past performance references, PandaDoc has no way to surface which of your past projects best match the current opportunity. You do that research manually.

06

E-signature workflow is the core value

PandaDoc’s core differentiator is the e-signature + document tracking workflow for sales proposals. For RFP submissions (usually portal uploads or email), this core value does not apply.

02 / Feature matrix

Side by side.

Nine dimensions across document workflow, e-signature, and proposal generation. Where PandaDoc's contract automation and CRM workflow lead, we say so. Where the gap shows up on RFP-specific work, we say that too.

03 / Switching stories

Three teams that made the move.

Three composites from teams that kept PandaDoc for sales contracts but moved RFP response work to Bidara. Roles and industries preserved, account-identifying details anonymized.

State health agencies
We tried to use PandaDoc for a 68-page state RFP response. The tool wasn’t built for this. We ended up in Word anyway. Bidara generates the first draft straight from our past work.
Maria Alvarez
Proposal Lead · Healthcare consultancy
Moved RFP work to Bidara, kept PandaDoc for sales.
Commercial SaaS
PandaDoc is fantastic for our 6-page sales proposals with e-sign. But when procurement asked for a 40-page security and compliance response, we needed something different.
James Parker
Director of Sales · B2B SaaS
Kept PandaDoc for sales, added Bidara for procurement.
Professional services
We kept trying to force PandaDoc templates into federal RFP format. It fought us on every Section L requirement. Bidara just understood what an RFP needed.
Rachel Kim
BD Manager · Professional services firm
First Bidara-drafted proposal won a $2.3M contract.
04 / Decision framework

Should you actually switch?

PandaDoc covers a real workflow well: contracts, sales proposals, e-sign. Don't tear it out just for RFP work if your team mostly sends standard sales contracts. The honest answer is often to use both, each for what it does best.

Switch to Bidara if

These fit you

  • You respond to formal RFPs (federal, state/local, or complex commercial)
  • Your RFPs are typically 20+ pages with Section L/M requirements
  • You need AI-generated first drafts from past performance
  • Compliance matrix automation matters to your workflow
  • Your team spends 25+ hours per RFP today
  • You value proposal generation quality over e-signature workflow
  • You’d rather have an RFP-specific tool than a general-purpose one
Stay with PandaDoc if

These fit you

  • ·Your primary work is sales proposals, quotes, and contracts (not formal RFPs)
  • ·E-signatures are a core workflow requirement
  • ·You have mature Salesforce/HubSpot CRM integrations that trigger document workflows
  • ·Your typical proposals are 3-15 pages of branded content
  • ·Visual design and brand consistency are primary concerns
  • ·Your team is small (1-5 people) and already productive on PandaDoc
  • ·You rarely write RFPs longer than 10-20 pages
05 / Pricing

Flat. Published. Honest.

PandaDoc tiers seat-by-seat with per-document e-sign limits and a separate AI Assistant add-on. Bidara's pricing is flat per plan with the proposal quota disclosed up front and unlimited draft generation within that quota.

06 / Questions

Frequently asked.

Common questions from PandaDoc users wondering whether they need a dedicated RFP tool at all, and how Bidara fits alongside (not necessarily instead of) PandaDoc.

It depends on your workflow. If your team does both sales proposals (quotes, contracts, NDAs with e-signatures) and formal RFP responses, use PandaDoc for the former and Bidara for the latter. If your team is primarily responding to RFPs, Bidara replaces PandaDoc entirely. If your team is primarily doing sales proposals with occasional RFPs, PandaDoc might still be your main tool.
Not today. Bidara exports to Word (.docx) and PDF, and you can send those for signature via DocuSign, Adobe Sign, or similar. E-signatures are on our roadmap but not a current feature. For teams where e-sign is a core workflow requirement, PandaDoc or a dedicated signature tool remains the right choice.
Bidara Starter is $299/month (flat, for 3 users); PandaDoc Business is $65/user/month. For a 5-person team: Bidara $299/mo vs PandaDoc $325/mo. For a 10-person team: Bidara Growth $599/mo vs PandaDoc $650/mo. Price parity at small scale; Bidara gets cheaper per-user as the team grows since pricing is flat per plan.
Many teams run both tools. PandaDoc for quotes, contracts, sales proposals with e-signatures. Bidara for formal RFPs where you need Section L/M extraction, compliance matrices, and AI-generated first drafts from past performance. The tools don’t compete in the same use case.
No, architecturally. PandaDoc is a document automation platform built for branded sales documents with e-signatures. It does not have AI that reads an RFP, extracts Section L instructions, maps requirements to Section M evaluation criteria, or generates first drafts from your past proposal documents. These features require a fundamentally different architecture.
Depends on how complex those RFPs are. For 1-3 simple short-form RFPs per year, a tool like PandaDoc or Proposify is often sufficient. For 5+ federal or enterprise RFPs per year, each requiring 25-40 hours of manual work, Bidara’s AI drafts pay for themselves on the first proposal.
Bidara doesn’t have deep CRM integrations yet. PandaDoc has mature Salesforce, HubSpot, Pipedrive, and Zoho integrations for sales-proposal workflows triggered by deal stage changes. For RFP responses, the CRM trigger is usually not relevant (the RFP comes from a procurement office, not a deal-stage change). But if CRM automation is core to your workflow today, PandaDoc has the advantage.
PandaDoc wins when: (1) your primary workflow is sales proposals with e-signatures; (2) you use CRM-triggered document automation; (3) your proposals are typically 3-15 pages of branded content, not 50-100+ page RFP responses with compliance matrices; (4) visual design and brand consistency matter more than AI generation; (5) you’re a smaller sales team that doesn’t write formal RFPs.
